Connect Zapier
Send prospects to your CRM and other tools when they reach a lead status: how to connect Zapier, set up the Lead Status Reached trigger, and use Send now.
Zapier connects LeadScout to your CRM and thousands of other apps. Zapier is included with Pro and higher, and only owners and admins can set it up.
Connect
- Open Settings, then Integrations.
- On the Zapier card, click Connect on Zapier. On your phone, it's under Profile, then Integrations.
- In Zapier, create a Zap, choose LeadScout as the trigger app, and sign in with your LeadScout account.
Once a Zap is turned on, the card changes to Manage on Zapier and lists your active Zaps.
The Lead Status Reached trigger
LeadScout has one trigger, Lead Status Reached. It fires when a prospect reaches the lead status you pick. In the Zap editor you choose:
- Lead Status: the status that starts the Zap, for example Appointment Set.
- Required Fields Before Sending: fields that must be filled in before the prospect is sent. Choose from Name, Phone number, Email address, Address and Appointment scheduled. Leave it empty to send right away.
- Send Mode: Automatic sends as soon as the required fields are complete. Button-press waits until a rep presses Send now on the prospect. Required fields apply in both modes.
Each Zap sends a prospect at most once.
What gets sent
The Zap receives the prospect's full name, first and last name where they can be told apart, phone numbers, email, full address and its parts, map coordinates, source, the assigned rep's name and email, every note (newest first), the lead status and its funnel stage, and the next upcoming appointment.
First and last name are left blank when the name looks like a business, a trust or more than one owner, so map the full name as a fallback in your CRM.
Waiting prospects and Send now
When a prospect has reached the status but is still missing required fields, its detail panel shows ZAPIER WAITING with the missing fields, like "Missing Phone, Email". Fill them in and it sends. When nothing is missing it shows ZAPIER and Ready to send, with a Send now button for button-press Zaps. Reps see the same banner on their phones.
The Zapier card under Settings, then Integrations, shows how many prospects are waiting to sync and how many sends failed.
Turn it off
Turn the Zap off or delete it in Zapier. If your plan drops below Pro, Zaps stop firing until it is restored.
Questions
Will a prospect be sent twice?
No. Each Zap sends a prospect at most once, ever. If the prospect later goes back and reaches the status again, it is not sent again.
Do imported prospects trigger my Zaps?
No. Prospects brought in with the CSV import do not fire Zaps, so a large import never floods your CRM. Only status changes made in the app, on your phone, through the API or by an AI agent count.
Can Zapier create prospects in LeadScout?
Not yet. The Zapier integration is a trigger only. To push data into LeadScout, use the LeadScout API.
