Find, edit and manage prospects
Search, filter and sort your prospects, open one to edit contact details, notes and the assigned rep, and assign, export or delete prospects in bulk.
Every pin you drop becomes a prospect. The prospect list is where you find them again, fix their details and clean up your data.
Who sees which prospects
Everyone in your organization sees every prospect, whatever their role. Reps, admins and owners can all search, edit, assign and delete prospects. A few things are limited to owners and admins; they are noted below.
The Prospect List on the web
Click Prospect List in the sidebar. In a narrow browser window it is Leads in the bottom bar.
Each row shows the status, the assigned rep, the contact name and phone, the address, the home's value and occupancy (from property data), tags and the date of the last visit. The list shows 50 prospects per page. Use the arrows at the top right of the list to move between pages.
New-homeowner leads can appear in the list too, marked with their lead type.
Search
Type in the Search name, phone, or address... box. Search also matches email addresses and the text of notes. The list updates as you type.
Filters
Click Filters to open the filter panel. Filters you pick apply right away. You can filter by:
- Show: prospects, leads or both.
- Statuses: one or more lead statuses, or No Status.
- Date Range: prospects visited or added in that period, such as Today, Last 7 Days or This Month. Pick Custom Range for your own dates.
- Team Members: prospects assigned to the reps you check, or Unassigned.
- Tags: prospects with any of the tags you pick.
- Location: a city, state or zip code.
- Owner Occupancy, New Homeowner and Property Type: these use property data, so prospects without it are left out while the filter is on.
- Review request: shown when Marketing is on for your company.
Click Clear All Filters to start over.
Saved views
To reuse a set of filters, click + Save current view at the top of the filter panel, type a name and click Save. Click a saved view to apply it. Saved views are yours alone, and they also appear in the filter sheet in the mobile app. You can keep up to 25.
Sort
Use the sort menu above the list to choose Sort: Recent activity (the default) or Sort: Date added. You can also click the Status, Assigned To, Contact, Address or Date column header to sort by it. Click the same header again to reverse the order.
Open and edit a prospect on the web
Click a row to open the prospect's panel. From there you can:
- Tap a status to change it. See Lead statuses.
- Add or remove tags under Tags. See Tags.
- Add or edit an appointment. See Appointments.
- Click the map button at the top to see the prospect on Prospect Map.
Edit contact details and address
- Click Edit in the panel to open Prospect Info.
- Click Edit on the contact card. You can change the name, a secondary contact name, two email addresses and two phone numbers.
- Click Save.
To change the address, click Edit on the Address card, update the street, city, state and zip, and click Save. The same card has Get Directions and Copy Address.
Notes
Under Notes, click Add, type your note and click Save. You can edit or delete notes you wrote. Owners and admins can edit or delete any note.
Activity history
Recent Activity lists status changes, notes, appointments and other events for the prospect. Click View All Activity to see the full history.
Owners and admins can change the date and time of a status visit, or delete it. Deleted visits no longer count in reports.
Assign a rep
Next to Assigned rep, click Assign. Search for a team member, select them and click Assign. A pin you drop is assigned to you.
Delete a prospect
Click Delete Prospect at the bottom of the panel, then Delete Prospect again to confirm. The prospect and its notes, visits and appointments are removed. This cannot be undone.
Bulk actions on the web
Check the box on each row you want, or check the box in the header to select every prospect on the current page. Then click Actions:
- Export selected: download the checked prospects as a CSV file.
- Export filtered: download every prospect that matches your filters and search. With no filters set, it reads Export all.
- Assign: assign every checked prospect to one team member.
- Delete: delete every checked prospect. This happens right away, with no confirmation step, so check your selection first.
Exports of more than 5,000 prospects are emailed to you when ready. See Import and export prospects.
The Prospects tab on your phone
Tap the Prospects tab. Each row shows the contact name (or the address if there is no name), the status and the assigned rep. New-homeowner leads are marked Lead.
Search, filter and sort
- Type in the Search... box to search by name, phone, email, address or note text.
- Tap the filter button next to search to open Filters. It has the same filters as the web, except location, plus your saved views.
- Active filters show as chips under the search box. Tap the x on a chip to remove it, or tap Clear to remove them all.
- Under Sort:, tap Recent activity or Date added.
The list shows up to 50 prospects. If you do not see the one you want, search or filter to narrow it down.
Tapping a stat tile on the Home tab opens this list with matching filters already set.
Open and edit a prospect
Tap a row. The Map tab opens, centered on the prospect, with its details showing. From there:
- Tap the name, or Add Name, to edit it, then tap Save.
- In the Contact card, tap the phone, email or secondary fields (such as Add phone or Add email) to edit them, then tap Save.
- Under Notes, tap Add, write your note and tap Save.
- Tap View All Activity to see the full history.
- Next to Assigned rep, tap Assign, pick a team member and tap Assign.
The app cannot change a prospect's address. Use the web app for that.
Delete on your phone
Scroll to the bottom of the prospect's details and tap Delete Prospect, then tap Delete Prospect again to confirm. The app deletes one prospect at a time; bulk actions and exports are on the web only.
Questions
How do I delete a prospect?
Open the prospect and click Delete Prospect at the bottom of its panel, then confirm. On the web you can also check several prospects on the Prospect List and choose Actions, then Delete. Deleting cannot be undone.
Can reps see everyone's prospects?
Yes. Everyone in your organization sees every prospect, on the list and on the map, and can filter by team member to see one rep's prospects.
Why can I not find a prospect when I search?
Check for active filters first: search only looks inside the prospects that match your filters. Click Clear All Filters on the web, or tap Clear on your phone. On your phone, the list shows the 50 best matches, so type more of the name or address to narrow it down.
How do I change who a prospect is assigned to?
Open the prospect and click Assign next to Assigned rep, pick a team member, and click Assign. On the web you can assign many at once: check them on the Prospect List, then choose Actions, then Assign.
Can I edit or delete a note or a status visit?
You can edit or delete notes you wrote. Owners and admins can edit or delete any note. Only owners and admins can change the date of a status visit or delete it.
